Privacy Policy

This Privacy Policy describes what data TECHNIA collects, why we collect it, how we store it, and the choices you have. It applies to our website, the TECHNIA Business platform (HR, ESS, Sales, Accounting, Purchasing, Inventory), and all TECHNIA-branded mobile apps.

1. Who we are

TECHNIA Solutions is the data controller for the information you share with us on our website and marketing channels. For business data you upload into the platform, TECHNIA acts as a data processor on behalf of your organization (the data controller).

2. Data we collect

We collect data in a few distinct categories:

  • Account data — your name, email, phone number, company, role and authentication credentials.
  • Business data — whatever you upload or generate inside the modules: employee records, customers, leads, invoices, inventory, attendance, journals, etc.
  • Payment data — processed by Stripe. We receive metadata (last-4 digits, brand, success/failure) but never your full card number or bank credentials.
  • Usage data — pages viewed, features used, device type, browser, IP, crash and performance telemetry. Used to keep the platform stable and improve UX.
  • Location data — collected only by the mobile apps, only during attendance clock-in sessions (see dedicated section below).

3. How we use data

  • Deliver the product you subscribed to.
  • Authenticate you and protect your account.
  • Process payments and issue invoices via Stripe.
  • Send operational emails (receipts, password resets, security alerts, planned downtime, material changes to terms).
  • Improve the product — bug fixes, performance, new features. We do not use your business data to train machine-learning models that benefit other customers.
  • Communicate with you about related TECHNIA products; you can opt out of marketing at any time while still receiving operational emails.
  • Comply with legal obligations (tax, accounting, court orders).

4. Location data (attendance & clock-in)

When you use our attendance or clock-in features, the mobile app collects device location in the background from the moment you clock in until you clock out. We use this exclusively to verify working hours, check route accuracy, and provide location context to authorized administrators within your organization.

We do not sell, share, or disclose your location data to any third party. Access is restricted to authorized personnel for operational, auditing and safety purposes. Background collection stops automatically when you clock out. You can revoke location permission in your device settings at any time — features that depend on it will simply stop working.

5. How we share data

We share data only with the third parties necessary to run the service, each under an appropriate processor agreement:

  • Stripe — payments and subscription billing.
  • Apple & Google — for mobile app distribution and crash reporting.
  • Hosting providers — to run the servers and databases your data lives on.
  • Email / SMS providers — to deliver transactional and notification messages.
  • Authorities — when compelled by a lawful request we cannot refuse. We push back on overbroad requests and notify you where legally permitted.

We do not sell personal data to advertisers or data brokers.

6. Security

TECHNIA runs on the same security primitives used by banks we serve: TLS 1.3 in transit, AES-256 at rest, role-based access control, tenant isolation, audit logging, and automated daily backups. Sensitive operations are logged with timestamp and actor. Report a suspected vulnerability to security@techniasolutions.co.

7. Retention

Account and business data are retained while your subscription is active. After cancellation we keep data for up to 90 days for reinstatement, then permanently delete it from live systems; encrypted backups are rotated out within a further 30 days. Limited records may be kept longer where required by tax or accounting law.

8. Your rights

You can:

  • Access, correct or export your personal data.
  • Request deletion via the data deletion form or by emailing privacy@techniasolutions.co.
  • Withdraw consent to marketing messages.
  • Object to processing or ask us to restrict it, subject to our legal obligations as a processor.

If TECHNIA acts as a processor for your employer, direct these requests to them first — they control the data and the retention policy inside their tenant. We'll support them in fulfilling the request.

9. International transfers

Your data is primarily processed in Egypt and the UAE on our cloud providers. Where data needs to cross borders (e.g. Stripe payment processing), we rely on standard contractual safeguards with each provider.

10. Children

TECHNIA is a business product and is not directed at children under 18. We do not knowingly collect personal information from children.

11. Cookies

Our website uses a minimal set of cookies for authentication, currency/locale preferences, and privacy-respecting analytics. We do not deploy advertising cookies.

12. Changes to this policy

We may update this policy from time to time. Material changes will be announced via the app or email at least 14 days before they take effect, with the new effective date shown at the top of this page.
